Position Summary
The Office Manager is responsible for providing a wide range of office management and support to the company.
While this individual must be numbers-oriented and creative with project work, they must also be resourceful, a self-motivated, and self-sufficient.
The Office Manager reports to and works directly with the General Manager/CEO and the Financial Accountant.

Essential Duties and Responsibilities include but are not limited to the following:
Manage office operations to assure good customer relations (both internal and external), maximum efficiency, quality control, and a harmonious working environment
Responsible for the day-to-day facilities operations and communication with facilities property manager regarding rent, maintenance, and alteration of office areas and equipment
Perform administrative work such as typing, filing, and answering phones
Prepare quotations, create purchase orders, and understand and renegotiate contracts
Liaise with company IT consultant regarding the purchase and configuration of any new IT equipment and devices for staff and/or office
Maintain accurate tracking records of office equipment, warranties, and available upgrades, etc.
Maintain confidentiality of sensitive and confidential information
Manage and assist accounting staff with activities, such as processing accounts payable and accounts receivables in an accurate and timely manner and other related activities
Prepare quotations, review purchase orders, and understand and renegotiate contracts
Process new hire documentation and related HR functions, as needed
Create sales quotes, receive and process purchase orders, sales fulfillment, draft sales proposals, maintain and update customer records in CRM, compile weekly & monthly sales reports, and bid documentation
Develop PowerPoint presentations, draft letters, ad hoc reports, taking meeting minutes,
Provide coverage for the Shipping Clerk with order processing
Minimum Qualifications
Minimum of five years of experience in administrative support or as an Office manager in corporate environment
Excellent computer skills including all MS Office applications (Word, Excel, Outlook, PowerPoint) and QuickBooks or related accounting program required.
Experience with payroll management a plus.
Familiarity with administration of 401-k plans, medical/dental insurance, COBRA, ERISA, FMLA and related state and federal regulations a plus.
Excellent communication skills, both written, verbal, and via presentations
Ability to multitask and prioritize tasks effectively
Ability to maintain confidential information
Strong attention to detail, time management, organization, ability to multitask, and problem solving skills
Must be able to pass a criminal background check

Ability to work 7:30 am to 4:30 pm with an hour lunch
Compensation & Benefits
$22-30 per hour (DOE)
